Main Duties & Tasks:

  • Handle Phone calls
  • Answer the phone in a professional and courteous manner as quickly as possible.
  • Determine the purpose of callers and forward the call to the appropriate person or department or interact with the caller on behalf of ProAmpac Grimsby.
  • Transfer calls as needed.
  • Take accurate messages and deliver these to the appropriate member of staff.
  • Welcome onsite visitors in a professional and courteous manner. Determine the nature of business and announce the visitor to the appropriate person or department.
  • Keep track of key people’s movements within the building and when they are working away from the office.
  • Create a good impression of ProAmpac Grimsby with visitor’s at all available points of contact.
  • Greeting/control of visitors and contractors ensuring admittance procedures strictly adhered to.
  • Ensure post are picked up at appropriate times.
  • Arrange couriers for urgent packages.
  • Keep the reception area tidy.
  • Maintain log of staff in the building and visitors signing in/out book.
  • Assist the HR team with administration duties as required including been involved with recruitment and onboarding of new employees.
  • Preparation of Induction programmes.
  • Receive goods/services into reception.
  • Administration Meeting Room Bookings, Purchase of Office requirements, stationery and refreshments
  • Issue Drinks Fobs / organise access Fobs with accounts and prepare induction packs new employees
  • Maintenance of all Notice Boards/ Employee Forms in document holders. On a weekly basis empty the suggestion boxes and co-ordinate the findings
  • Maintenance of Employees Lockers and work wear allocation by listing, liaising with laundry contractor and HR
  • To assist with all Hygiene and Quality responsibilities to ensure that company standards are met and surpassed
  • Work as part of a team, supporting colleagues and sharing information
  • Work in accordance with all company environmental management requirements, taking reasonable care for the protection of the environment through your own acts/omissions and report any opportunities for improving environmental targets
  • To be flexible in undertaking duties and responsibilities and may be asked to perform other duties which reasonably correspond to the general character of the position and are commensurate with its level of responsibility
